Payment control requires a clear link between the contract, acceptance certificate, and payment invoice. An electronic document management system helps automate this process. Let's look at how this works, using the example of recent agreements by IQusion on implementing an EDMS.

From Contract to Payment

To avoid errors in payments, it is advisable to set up a single document chain in the EDMS. First, the contract is uploaded into the system. When the service is provided, the responsible employee generates an acceptance document. The payment invoice must correspond to the agreed volume. If the system detects discrepancies between these documents, further approval is halted. This allows invoices to be checked before payment, not after.

When setting up routes, it is useful to take one typical contract and run it through all stages. This way, you can check who is responsible for each stage and where delays occur.

Scope of Implementation

On 12 October 2026, IQusion announced the start of EDMS modernisation under a contract dated 8 October. This agreement covers the implementation of the Megapolis.DocNet system for 250 users. The scope of work also includes process configuration, migration of the existing document archive, integration with other systems, and staff training.

Earlier, in September, the company signed another contract for EDMS deployment. That scope involved 30 workstations, connection of the SEV OVV module, and user training. In such procurements, it is important to separately record the number of licenses and the period during which software updates will be provided.
